Auto Service (Automatically Generate  Service Requests)

The Auto Service procedure (to Automatically Generate Service Requests) creates the Work Orders for your Company's Recurring Service Requirements as previously defined using the Recurring Service Form available in the Subscribers Form's Subscriber Options Menu.

The Auto Service procedure is accessible as follows:

a)From the Service Tab on the MKMS Desktop Click the Auto Service Icon, or

b)From the Backstage Menu System Select File and Choose Service and Select the Run Automatic Service option, or

c)From the Quick Access Menu, Select File and Choose Service and Select the Run Automatic Service option

 

Using the Auto Service Form:

Period for Auto Service - Set the Auto Service period that is to be generated.

Year - By default, the current year.  

Use the Drop-Down Selection List to Reset the Year, if needed.

Month - By default, the current month.

Use the Drop-Down Selection List to Reset the Month, if needed.

Note: If a duplicate month is selected in error, as warning message will be displayed.

Click OK to return to the Auto Service Form to reset the Month and/or Year, as necessary.

 

Last 20 Periods Run - For information purposes only.

List of the 20 most recent sets of Recurring Service Requests by Year, Month and Type of Recurring Services that were previously created.

Drag the Right Slide Bar to see all 20 of the Recurring Service Requests (see the Hand Pointer in the illustration below).

 

Which Services: Select the Type of Work Order that is to be generated which - based on this selection - creates then appropriate, and properly formatted Work Order document (i.e., Standard, Fire Alarm Inspection, Fire Extinguisher Inspection).

All - Create All of the varieties of Work Orders due for the selected Auto Service period.

Standard Work Orders - Only create Standard Work Orders that are due for the selected Auto Service period.

Fire Alarm Inspections - Only create Fire Alarm Inspection Work Orders that are due for the selected Auto Service period.

Fire Ext. Inspections - Only create Fire Extinguisher Inspection Work Orders that are due for the selected Auto Service period.

Run - Click the Run button to execute the procedure.

Prior to executing the Auto Service procedure, the system will check to see when the previous process was run, and whether a Service Period may have been skipped (accidentally).

Auto Service Period Missing - message

 

To stop (and reset the entries) Click No.

The Auto Service Period Missing Message will close.

The Auto Service dialog will be available to make the required changes.

To proceed, Click the Yes button.

The procedure will continue to completion.
